Invoicing

On the Invoicing page, you can create and send invoices to your clients! You can also download your invoices, edit draft invoices, and delete unpaid invoices from this page.

Along with this, get a quick summary of the total amount of invoices you've sent, the total amount of invoices you've been paid, and the total amount of invoices that are still unpaid.


New Invoices

When creating a new invoice, you can select the client you want to invoice, the date of the invoice, and the due date of the invoice. You can also add a note to the invoice if you'd like.

Seller Information

This information is required, and if you have not set this information in your "Invoicing Defaults" settings, you will be prompted to do so here within the invoice. You can also modify this information on a per-invoice basis if you'd like.

Bill To Information

This information is required, and if you have not set this information in your "Clients" contact details, you will be prompted to do so here within the invoice. You can also modify this information on a per-invoice basis if you'd like.

Items

Based on the client selected as well as any time entries you've added to your schedule, you can select which time entries, if any are available, you want to add to your invoice. You can also add any additional items that are not in your schedule as well as any fixed-rate services.

You can also set any taxes or discounts you want to apply to your invoice, which will be applied to the subtotal of your invoice automatically.

Add vs. Add All

Use "Add All" to quickly add all relevant time entries and fixed-rate services to your invoice. Use "Add" to add individual items that you've selected from the input available to your invoice.

Merge Entries

If multiple time entries are selected that are from the same project, service, and hourly rate, they can be combined into a single line item by clicking the Merge button.


Invoice Statuses

Draft

Draft invoices are invoices that have not been sent to your client yet. You can edit, delete, and preview the invoice PDF when in this status. When ready to submit to your client, select and confirm the "Finalize Invoice" action.

Before Finalizing

After you finalize an invoice, you will no longer be able to edit the invoice. If changes are needed, you will need to delete the invoice and create a new one.

Pending

Pending invoices are invoices that have been sent (or will be sent) to your client, but have not been paid yet. You can delete the invoice or download your invoice PDF. When ready to mark as paid, select the "Invoice Paid" action and confirm the date the invoice was paid.

Download Invoice PDFs

When an invoice PDF is available to be downloaded, it has already been generated and saved to our AWS storage. This means that as our application evolves, your invoice PDFs will not be affected by any changes we make to our application and will always be available to you!

Email Invoice

Starting with our "Starter" Plan, you can email your invoices directly to your clients! When you email an invoice, we will email your client with the invoice PDF attached (as well as provide you additional information on this screen of the status of said email). This feature will evolve over time, so stay tuned for more enhancements!

With this feature, however, we will limit the ability to email to every 15 minutes. This is to prevent abuse of our email service and to ensure that your emails are delivered successfully.

Although you can set a default email address to send to, we allow you to override this address in case you need to send to a different email address for unforeseen circumstances.

Overdue

Overdue invoices are invoices that have not been paid by the due date.

You can delete the invoice or download your invoice PDF. When ready to mark as paid, select the "Invoice Paid" action and confirm the date the invoice was paid. You can also email the invoice to your client if you'd like.

Our Process

We make a check at the start of each day to see if any invoices are overdue. If so, we will update the status of the invoice to "Overdue".

Congrats, you've been paid!

Once an invoice has been paid, we'll mark it accordingly and give you the option to download the invoice PDF.

Download PDF is the only option

At this point, it doesn't make much sense to provide any additional options besides downloading the PDF once your invoice has been paid. We'll certainly listen to any feedback provided and give additional options if needed, but for now, we'll keep it simple.


When emailing your clients, assuming you've set up your Quick Pay settings, you'll have the option to include a payment link in your email. This link will allow your clients to pay their invoices online with a credit card or direct bank deposits.

Since Stripe (as well as ChronRunner) includes some fees for this service, you'll have the option to pass these fees along to your client or absorb them yourself (ie, receive less money than what you invoiced). We'll provide you an estimated amount of fees to tack on to the invoiced amount to cover the Stripe and ChronRunner fees, but this is a ballpark figure and may not be exact to what Stripe ultimately calculates.

Be sure to check out the "Quick Pay" section of the "Settings" page to perform the necessary set up for this feature!


Payments Summary

At the top of the Invoicing page, you'll see a summary of your invoices. This summary will show you the total amount of invoices you've sent, the total amount of invoices you've been paid, and the total amount of invoices that are still unpaid.

You can click on any of these amounts to see a list of invoices that make up that total.

As it may be less obvious, the "Paid YTD" amount is the total amount of invoices you've been paid this year. This is a great way to see how much you've made this year!
